NHTOA Executive Board Meeting Report
January 7, 2008
A meeting of the NHTOA Executive Board was held on Monday, January 7, 2008 at the Hooksett Public Library. It was called to order at 6:14pm by president, Bob Brown.
In attendance were Bob Brown, Bob Gidari, Doris Tuson, Paul Huard, Nancy Eastman, David Cook, Richard Sholtanis, and Chuck Zerbinopoulos. Gary Custer was unable to attend.
The board reviewed the board report of September 10, 2007. Paul made a motion to accept the report and Nancy seconded it. The board voted to approve this report.
Paul gave a treasurer’s report update and passed out a 2-year comparison report for the board to review. Paul passed around a paper for board members to include their information, if they wanted to be reimbursed for mileage. In the future Bob B. will put together a mileage reimbursement form. David made a motion to pay Nancy 44¢ /mile for previous mileage expenses. Paul seconded it and the board voted its’ approval. There were 7 votes in favor of the motion and 1 abstention. The current treasury balance is $2389.00.
Nancy gave a Supervisor of Officials’ report. She told the board that the Outdoor Track Class meet would be held on Friday, May 30th and Class I and M&S will be held on Saturday, May 31st. Merrimack Valley will hold the Class I meet and Gilford will hold the Class M&S meet. The Meet of Champions will be held on Saturday, June 7th. Nancy reviewed a letter from which covered questions and answers about the Arbitor system. She asked the board to contact her with questions or comments about it. The board discussed its’ concerns about this new system and our officials. A question was asked regarding what to do when an official does not receive payment. Nancy needs to be contacted. The NHIAA will provide us with insurance coverage for $12.00 and the administration fee will be $8.00. Officials of our sport will register with them and pay $20.00 total using a credit or debit card. Nancy told us that mileage would be built into the Arbitor system. A question was asked as to who contacts who when a meet is cancelled? In the future the NHIAA will try to make calls to the official.
Richard made a motion to hold an executive session and Nancy seconded it. The board voted in favor of it. This session was held then the board returned to the regular meeting.
Under new business Bob B. brought up the new member application for discussion and also the list of those interested in membership with us. Bob G. suggested sending a letter and application to every athletic director and coach asking if they know anyone at their school who wants to join our association. Nancy wants us to review the potential member list and send comments to her. Bob B. asked us to check and confirm our information on the member roster as well. Nancy told us that the special event officials would not be able to register with the NHIAA. Dues for this coming year would be $76.00.
Bob B. informed us the next board meeting is tentatively scheduled for February 4th. We will discuss the special event official and what to do for the annual meeting to be held on March 1st. More discussion was held on a number of issues and problems. Then Bob passed out a newer version of the By-Laws booklet to be used as a reference only. He wants to know what is right and wrong with its’contents, so corrections can be made. The booklet will be passed out at the annual meeting and no vote will be taken regarding it until the following year. Bob B. spoke about possible changes for the annual meeting and how that meeting will be run. There are tentative plans to hold a clinic at that time. The meeting location has not been confirmed yet. Those who are unable to attend this years’ annual meeting will be required to take the National Federation test. Those who do attend will participate in the clinic and have a new rules review too.
Bob G. made a motion to close the meeting and Richard seconded it. The board voted to end the meeting at 8pm.
